Terms & Conditions
Purchasing a ticket or registering for any Community Housing Cymru (CHC) conference, training course, webinar or other CHC event means that you have accepted our terms and conditions.
We may update or amend these Terms from time to time to reflect changes to our event management, our services, our users’ needs and our business priorities. We will try to give you reasonable notice of any major changes.
All delegates and related others (herein referred to as ‘the Participant’) attending Community Housing Cymru events (herein referred to as ‘the Organiser’) are required to adhere to the following Terms and Conditions.
Each party warrants to the other that it has full right, title and authority to enter into and perform its obligations under these Terms and Conditions.
Unless stated otherwise, all Fees are inclusive of VAT.
All Fees are non-refundable (except as otherwise specified herein).
Payment is to the Organiser in accordance with the following terms
Conferences
- All payments are to be made at the time of booking or on receipt of invoice in advance of the conference being attended.
- 50% of ticket cost is retained if cancellation is made between 22 - 30 days before an event takes place
- 100% of ticket cost is retained if cancellation is made less than 21 days in advance of the event taking place
- Registered delegates who do not attend the event: Full fee payable
Training
- All payments are to be made at the time of booking or on receipt of invoice in advance of the training course.
- 50% of ticket cost is retained if cancellation is made between 14 - 30 days before an event takes place
- 100% of ticket cost is retained if cancellation is made less than 14 days in advance of the event taking place
- Registered delegates, who do not attend the course: Full fee payable
Conditions
1. Purchasing a ticket for any of the above allows the named participant only to attend the event that the ticket is for. We will accept the transfer of tickets to another participant up until the day of the event.
2. Amendments to the names of ticket holder(s) within 7 days of the event will be charged at £30 per ticket amendment.
3. Should a different participant attend the event to that named on the booking form, without prior agreement with CHC, we reserve the right to (a) treat this participant as an additional participant and invoice accordingly or (b) ask the participant to leave the event.
4. Any cancellation by the Participant; must be received by the Organiser by email.
5. The Organiser reserves the right to refuse any Participant entry to an event and to remove any related materials if fees are not in receipt in full.
6. The Organiser is under no obligation to reimburse all or any part of the Fees received or fees owing due to Force Majeure. At the absolute discretion of the Organiser, if a venue is unfit or unavailable for occupancy; or it becomes impossible or impractical to hold an event for reasons beyond the control of the Organiser, (including without limitation, war, strikes, floods, communicable diseases, governmental restrictions, power, telecommunications or Internet failures, or malicious damage or any other cause); the Organiser reserves the right (but shall not be obliged to)
- change the location and/or date
- curtail the event
- vary the scheduling of the programme, or
- cancel the event
7. The Organiser reserves the right to remove, amend or replace any speakers publicised in advance, or on the day of the event in response to circumstances beyond their control.
8. If the event is cancelled, the parties agree and acknowledge that the Organiser shall not have any liability to refund the Fees; additional expenses or to make payment for any other loss or damage suffered by the Participant.
9. The parties agree and acknowledge that the Participant will have no further claim whatsoever against the Organiser in respect of changes to an event.
10. The Organiser will require the Participant to remove with immediate effect any social media messaging linked to an Organiser event perceived as being defamatory, derogatory or of a sexual or discriminatory nature. The Organiser may seek damages in this instance.
11. Content
- All rights in all presentations, documentation and materials published or otherwise made available as part of the event (including but not limited to any documentation packs or audio or audio-visual recording of the event)
- (“Content”) are owned by us or are included with the permission of the owner of the rights.
- No republication, broadcast or other dissemination of the Content is permitted.
- You shall not distribute, reproduce, modify, store, transfer or in any other way use any of the Content (save that use by the relevant delegate for internal business purposes shall be permitted), and in particular (but without limitation) you shall not (and shall procure that each of your delegates shall not):
- upload any Content into any shared system;
- include any Content in a database;
- include any Content in a website or on any intranet;
- transmit, re-circulate or otherwise make available any Content to anyone else; make any commercial use of the Content whatsoever; or use Content in any way that might infringe third party rights or that may bring us or any of our affiliates into disrepute.
- The Content does not necessarily reflect the views or opinions of CHC.
- Suggestions or advice contained in the Content should not be relied upon in place of professional or other advice. Whilst we take reasonable care to ensure that the Content created by us is accurate and complete, some of it is supplied by third parties and we are unable to check its accuracy or completeness. You should verify the accuracy of any information (whether supplied by us or third parties) before relying on it.
- The Content is provided on an “AS IS” basis without any warranties of any kind (express or implied). We hereby exclude to the fullest extent permitted by law all liabilities, costs, claims, damages, losses and/or expenses arising from any inaccuracy or omission in the Content or arising from any infringing, defamatory or otherwise unlawful material in the Content.
- To the extent that any Content is made available by us online we reserve the right to suspend or remove access to such Content at any time
12. Delegate lists
- If you attend a CHC event as a delegate you may be provided with a badge which will display your name and company name to aid networking with other delegates.
- CHC are required to provide a copy of the delegate list to the venue for security reasons and to assist with catering or for other reasons agreed by CHC in advance.
- If the event is sponsored, a list of registered attendees will be available to sponsors a week beforehand to assist with their planning. If you do not want your name to appear on the delegate list, please let us know 48 hours in advance of the event taking place by emailing us at events@chcymru.org.uk
- Some events may make the delegate list (name, job title and company) available to other delegates in order to enable effective networking. If you would like any of your details excluded from this, please email the event manager. Their details can be found on the dedicated event page, but if you are unable to find them please email events@chcymru.org.uk
For promotional purposes there may be a photographer and video production taking place at CHC events. Delegates who do not wish to be filmed or recorded should advise CHC by email events@chcymru.org.uk prior to the event.
CHC reserves the right to use the media captured at any event in any brochures, booklets, videos, websites or other media and publicity material produced by CHC. All materials shall remain the property of the CHC.
By agreeing to these terms and conditions, you also agree that CHC may use such photographs without your name, unless you have granted specific permission for your name to be used, for any lawful purpose, for example, publicity, illustration, advertising and web content.
If you do not wish for your image to be used, please advise us of such by emailing at events@chcymru.org.uk
14. Data protection
By submitting your registration details you agree to the CHC holding and processing your personal data in accordance with current data protection legislation.
The registration details you provide us with when booking may be used before, after and during the event. We will use your personal data to send you information to aid your participation in the event, i.e. registration instructions, invoicing and payment, and materials relevant to the event.
We will also use your name in the preparation of name badges and delegates lists. After the event, we may send you follow up emails relating to the event, seeking your feedback and also informing you of similar events that we think will be of interest to you.

15. These terms and conditions are governed by, and construed in accordance with Welsh Law and the parties irrevocably agree that any dispute arising out of or in connection with these terms and conditions will be subject to and within the jurisdiction of the courts of England and Wales.
